This Whistleblowing Policy explains how anyone working with or for Letted Ltd ("Letted", "we", "us", or "our") can raise concerns about wrongdoing, and the protections in place for those who do.

1. Purpose

We want to do things properly. If something is going wrong, we need to know about it. This policy exists so that anyone who spots a problem feels confident raising it, knowing they will be taken seriously and will not face retaliation.

2. Who This Applies To

This policy applies to all employees, contractors, freelancers, and anyone working closely with Letted. It also applies to former workers who want to raise concerns about something that happened while they were working with us.

3. What You Can Report

You can raise concerns about any activity that you reasonably believe involves:

  • Fraud, financial irregularity, or dishonesty
  • A breach of legal or regulatory obligations
  • A threat to the health or safety of any person
  • Damage to the environment
  • A deliberate attempt to conceal any of the above
  • A serious breach of this or any other Letted policy

You do not need to have proof that something has gone wrong. A reasonable belief based on what you have seen or heard is enough.

4. How to Raise a Concern

You can report a concern by emailing support@letted.com with the subject line "Whistleblowing Report", or by speaking directly to a founder or senior team member.

Please include as much detail as you can, including dates, people involved, and any supporting information. This helps us investigate effectively.

5. Confidentiality

We treat all reports in confidence. We will only share information about a report with those who need to know in order to investigate.

If you want to raise a concern anonymously, you can do so by email without identifying yourself. However, it may be harder for us to investigate or follow up without being able to ask you questions.

6. Protection from Retaliation

Anyone who raises a concern in good faith under this policy will not suffer any form of retaliation, including dismissal, disciplinary action, or unfair treatment.

If you believe you have been treated unfairly as a result of raising a concern, please report it immediately.

7. Investigation

When a concern is raised, we will:

  1. Acknowledge receipt as soon as practical
  2. Assess the concern and decide how to investigate
  3. Investigate fairly and proportionately
  4. Take appropriate action based on the findings
  5. Let you know the outcome, where we are able to do so

8. External Reporting

If you feel unable to raise a concern internally, or if you are not satisfied with how a concern has been handled, you have the right to report it to a relevant external body, such as the Information Commissioner's Office, the Health and Safety Executive, or another prescribed person under the Public Interest Disclosure Act 1998.

9. Review

This policy is reviewed at least once a year.
